WHh the conference just over a week away. I om writing you to give you additional
informotlon about the event'5 I09istics.
Response hos been exceptionaf and we expect over 500 delegates for the conference
and over 100 dele~otes for the workshop. The organisation is going very well, and with
the conference belnQ so large here are information that should help ensure that
everything wfllrun smoothty for speakers.
1. Workshop leader's role
As the wari<shop leoder, your contribution for the smooth running of the workshop wlll be
of fhe utmost importance, so please let me giv8 you further information about your role.
1. Iwm open the session and introduce you. As (j Chair, your role will be to run the
session and introduce each speaker. You will receive the biography of your workshop's
speokers by the 8th of May.
2, Aftar each presentation one jus1 before introducing the next speoker, please check
with th e audience if there are any questions ond oVersee this.
3. As the workshop is large it is essentiol to keep your session on time. I would like to
sugge~t the following strategies to help you:
a. If a speaker 15 Qverspeaking, you could pass him a note advising him that his
time is oVer and give him few more minutes to finalize his presentation.
b. Den' t ollow the question and OrlS'Ner session to run ov..,- time. Please cut it
short ond introduce the next speaker. There will be other opportunities for
del.~otes to ask questions.
4. In your role os Choir, Iwould like to ask you to dose the session and invite
delegates to attend the following break.. whether it be lunch. refreshment ot cock.tail.On
the day you are choking I will hand you a brief including details of the breaks,

Registration for the workshop will star1 at 8.aOam on Monday 13 May. I believe if Is

meet the speakers and check your slides. The meeting will be on Sunday 12 May at 4prn
at the Hotel reception desk. I will take you to the secretariat room wh~re there wlll be a
slide projector. For speckers who cannot attend this meeting I will suggest them to go to
the workshop room at 8.00dm on Monday 13 MtlVt which should allow them enough
time to check the equipment.
